Facilities and Bookings Coordinator
Molinare is continually growing and evolving to ensure we deliver an exceptional post-production experience to our clients.

We are recruiting for a Facilities and Bookings Coordinator which is an integral role working within one of the most creative and ambitious post-production houses.
About the Role:

The Facilities and Bookings Coordinator has overall responsibility for the efficient running of the offline facility and is the first point of contact for Clients. 


They take the lead in making sure the facility is run as efficiently and profitably as possible whilst delivering an excellent client experience to match the Molinare Brand.


Due to Hoxton being a small facility, you will have a broad area of responsibility, these include client services, premises, financial controls including petty cash. 


What the job will look like:

  • Greet all people entering the building. Notify the relevant department/individual of their arrival and ensure they are escorted to the correct destination.
  • Be aware of staff and client movements throughout the building.
  • Where required answer the telephone, screen and direct calls. Take and relay messages and provide information to callers in an accurate and timely fashion.
  • Make bookings and keep the scheduling system updated and carry out any reporting or administration tasks
  • Manage the clients onsite needs on a day to day basis
  • Administer the alarm and security key systems.
  • Oversee the management of the Hoxton library of assets, ensuring the correct logging, storage and dispatch of items in a safe and timely fashion.
  • Ensure basic office and catering supplies are maintained as required.
  • Reporting and coordinating buildings maintenance tasks using the ticketing system
  • Management of supplier contracts and negotiations with support from the finance team.
  • Health and safety contact and admin.


What you do need to be successful in the role:

  • A sound understanding of the principles of TV and film post-production technology.
  • Previous experience in a post-production scheduling or coordinating role
  • Experience of post-production workflows and understand the implications of decisions and action on the workflow
  • Experience of service delivery in a changing environment
  • Must have experience and knowledge of resource management and coordinating
  • Ability to be flexible and adapt to constantly changing priorities whilst maintaining first-class client services.
