Role overview

My wonderful clients are are looking for an energetic and committed person with relevant experience to manage the day-to-day administration and bookkeeping of a small but dynamic, award-winning international production company. 

Based in Central London with an office in Paris, my clients produce award-winning Feature Films and high end TV drama. 

The company is already scheduled to produce two more international television series in 2020-21.

They currently have a small team where, although everyone has a defined role and responsibilities, there is also a degree of flexibility and interchange in day-to-day tasks. 

The company is looking for someone with a background in accountancy who can also be at the centre of the company’s day-to-day organisation, a communicator and facilitator, a systems person who has an overview of the company’s operation and can help streamline it, interfacing with project development and production, as well as assisting with business and corporate affairs.

This is an important role in the company, offering tremendous possibilities for someone who wants a career with a broad and challenging remit in the media industry. The company envisages this role evolving over time, as development and production output increases and with it the size of the company itself. 

One crucially important aspect of the role is financial. The company is intending to bring its bookkeeping in-house and needs someone with a good understanding of accounts and solid experience of day-to-day bookkeeping in a small to medium company using a computerised accounts package. As the company develops, the financial responsibility is likely to become more demanding, with the possibility of growing the team.

The company is looking to appoint an excellent organiser and communicator, a fast learner with a good level of accountancy and bookkeeping skills, who can grow into being a key member of the management team. 

While there will be huge scope and encouragement for personal development, this is not an entry-level post nor is it a route into a more artistically creative role.

Bookkeeping and financial responsibilities will include:

  • Processing supplier and customers invoices
  • Ensuring timely payments and receipts
  • Balancing accounts
  • Bank and credit card reconciliations
  • Monitoring aged listings
  • Overseeing petty cash and receipts
  • Dealing with routine financial paperwork and filing
  • Handling payroll
  • Preparing documents for the company’s statutory accounts and audit and for day-to-day liaison with auditors
  • Preparation of VAT returns
  • Producing monthly management reports and updating cashflows
  • Producing reports of income and expenditure on individual projects 
  • Assistance with the budgeting of projects 
  • Basic HR tasks (maintaining records of holiday, sick leave, etc)
  • Routine relationships with authorities (HMRC, etc).

Administrative responsibilities will include:

  • Office organisation and maintenance
  • Filing legal and financial documents and correspondence
  • Maintenance and further development of information filing and retrieval systems, both paper and online, for different aspects of the company’s work. Overhaul of existing systems and creation of additional systems will be a key area of focus in the short to medium term.
  • Scheduling and keeping track of the company’s day-to-day tasks and priorities
  • Helping ensure that the company meets its legal and statutory obligations
  • Assistance with areas of corporate governance
  • Providing occasional assistance to other colleagues and Board members.

Candidate Profile

Skills and experience - Essential

The successful candidate will:

  • Be an excellent communicator with good written and spoken English
  • Be confident, sociable and able to build close working relationships
  • Be a team player with an ability to work independently
  • Be highly organised with meticulous attention to detail
  • Have excellent administrative and general IT skills (Word, Excel, PowerPoint)
  • Have a good understanding of accounting and double-entry bookkeeping
  • Have solid experience of using professional accounting/bookkeeping software
  • Be able to prioritise demands, to multi-task, to meet deadlines and to cope under pressure
  • Be willing to work flexibly, including dealing on occasions with irregular office hours and last minute changes.

Highly desirable:

  • Association of Accounting Technicians Level 4
  • Competent user of Sage 50cloud Accounts
  • French language skills, whilst not essential, would be helpful
  • Familiarity with the media industry would be an additional benefit.

NB: The role may require some occasional travel to Paris
