ABOUT THIS ROLE:
This role is responsible for overseeing day-to-day office operations while leading initiatives that foster connection, culture, and engagement across the company. The ideal candidate will be highly organized, proactive, and people-oriented and able to balance logistical oversight with creative employee engagement strategies.
Success in this position requires strong communication and relationship-building skills, problem-solving ability, and comfort collaborating with both peers and leadership. Key ResponsibilitiesOffice Operations: - Serve as the primary point of contact for reception, office maintenance, supplies, equipment, mail, shipping, and general office needs
- Oversee office operations and procedures, ensuring efficiency and smooth day-to-day operations
- Partner with IT and People Operations to coordinate office equipment, technology needs, and new hire set-up
- Manage vendor and service provider relationships, ensuring timely invoicing, payments, and quality service delivery
- Maintain office efficiency by planning and executing procurement, space layouts, and office systems
- Supervise janitorial services and ensure shared spaces are orderly, safe, and welcoming
- Maintain a safe and secure working environment, including oversight of workplace health measures and enforcement of safety protocols
- Manage executive and client meetings, including guest check-in, ensuring all standards are upheld (e.g., NDAs, confidentiality protocols), and preparing rooms and materials as needed
- Develop and uphold office standards, policies, and practices that support operational excellence and employee experience.
Employee Engagement: - Lead the planning, coordination, and execution of company-wide events, team activities, and in-office celebrations
- Manage budgets for employee engagement initiatives, including team events, company celebrations, and recognition programs
- Support positive internal and external staff relations, acting as a resource for employee needs and engagement
- Manage recognition initiatives, including employee birthdays, anniversaries, and milestone celebrations
- Collaborate with both NY and London Office Operations teams to ensure holistic offering and event coordination for a unified employee experience.
Skills, Knowledge & Expertise:- 3-4 years of experience in office management, or a related operational role
- Proven ability to work independently in a fast-paced, dynamic environment with multiple projects, deadlines, and competing priorities
- Strong communication skills, with the ability to interact effectively across all levels of the organization
- Comfortable speaking in public forums and facilitating meetings or events
- Excellent decision-making and problem-solving abilities under pressure
- Highly organized with superior time management skills and the ability to seamlessly switch between tasks
- Bachelor’s degree or equivalent professional experience.
