About the Digital Cinema and International Servicing Team:


The department is responsible for all aspects of theatrical DCP mastering and QC, materials servicing, and the delivery of materials to cinemas, festivals and stakeholders globally.

The team prepares content in our purpose-built encoding suites and conducts quality control in our cutting-edge cinema theatres which support the latest standards (SMPTE, 4K, Dolby Atmos) for theatrical releasing. The team also manage the theatrical release of films and trailers to the UK, Ireland and international territories.


About the role


This is an exciting entry-mid level opportunity to join our multidisciplinary team based in West London. As a Coordinator you will perform administrative / coordination tasks and undertake cinema QCs to sign off client content. You will work with industry standard equipment such as 4K digital cinema projectors, in-house campaign management software, keygen, and utilise Microsoft Office & Google software. In addition to QC and asset coordination, the role includes managing Key (KDM) distribution to cinemas, helping with the department’s billing, processing jobs via our internal business system and supporting our team with office administration. The candidate will assist with client management and, with training, will be entrusted to quality control and sign off high level trailers and feature DCPs.


Expect a 50/50 split between Client focused coordination & admin, and production focused QC and content management. You will also form part of the distribution team providing key (KDM) management services to cinemas during theatrical release campaigns.


Duties will consist of performing QCs to the highest standard, producing detailed QC reports and file records and supporting the Account Managers and technical production team in maintaining office operations and lab admin. The successful candidate will gain exposure to all aspects of Film Servicing and Digital Cinema workflows in a busy post production environment.


The role is predominately 9-6pm, Monday to Friday, however some team members will start slightly earlier in the day, and others will end slightly later in the day (TBD). Occasionally during a very large film release some weekend or evening email cover is required based on a fair rotation, and very occasionally some weekend QC cover can be required where a film release becomes pressing. VDMS provide overtime and time-in-lieu policies and we work flexibly and intelligently to suit both the client and our team member’s needs.


Key Responsibilities:

  • Maintain excellent file records, job sheets, QC reports and billing databases
  • QC of digital cinema features (DCP’s), trailers, and maintaining job sheet accuracy
  • Liaise with Film Producers and sales agents to ensure all materials are delivered as per contractual requirements required for International Delivery
  • Arrange QCs of Digital files and DCPs as well as checking other materials and resolving any technical issues where required
  • Providing support to our account management team with film distribution, emails and routine office admin and support the Heads of Department as required
  • Supporting our cinema key creation process, maintaining a cinema database and issuing keys (KDMs) to clients and cinemas
  • An understanding of subtitling specifications and formats, audio sample rates, video frame rates, SMPTE standards and traditional multi-channel audio configurations
  • Update and maintain records of inbound and outbound materials
  • Abiding by security policies and protecting information assets entrusted to you.
  • Maintaining our Wiki and how-to guides.


Candidate specification


We are looking for someone to take their first step into Film Servicing, Quality Control, and account management. They must be someone who has an interest in technology in the workplace, who can learn new processes quickly, who works efficiently, independently and as part of a team, who seeks solutions and efficiencies and is able to figure things out and improve systems and processes over time, is open to a challenge, and hungry for knowledge.


The ideal candidate:

  • Will be passionate about customer experience and provide excellent customer service
  • Is process-driven, detail-focused, takes great pride in their work and constantly strives to improve
  • Hands-on experience with digital media workflows is beneficial however we are looking for technically interested individuals with the right attitude
  • Will have strong communication skills, possessing the ability to prioritise their own workload, and the capability to collaborate with, and assist other team members
  • Will be a problem solver with a creative and innovative approach and the ability to think outside of the box and have a positive attitude when experiencing obstacles and be enthusiastic to get things done
  • Will have the ability to execute complex projects efficiently and reliably
  • Will have an interest in Cinema and Digital Media
  • Will have an interest in QC workflows in the digital media supply chain industry
  • Will have some knowledge of file formats, specifications and the required workflows to process these in the most efficient way
  • Will be able to work flexibly when required (AM, PM, Weekends).

Whilst this is not a creative role it is an exciting opportunity to coordinate and preview (QC) the world’s latest Film and TV content. We are looking for a methodical and process-driven Coordinator and QC op who applies creativity when problem solving, and efficiency when completing administrative tasks.
