Hire Desk Coordinator

Join Gravity Media as a Hire Desk Coordinator in Dartford, acting as the first point of contact for RF equipment hire within a fast-paced broadcast environment. 

ABOUT THE ROLE

Working on the Hire Desk in a busy hire company specialising in wireless camera, audio and communication equipment within the broadcast industry.


Part of a wider group that delivers events worldwide, this position is the initial contact point for the hire of RF equipment, providing quotes to customers and seeing their job through to the end whilst doing this to the highest service to all customers.

  • Working location: Dartford
  • Weekly hours: 40 hours per week, 9:00-18:00 Monday to Friday
  • Reporting to: Head of Operations
  • Role type: Full-time, permanent

WHAT YOU’LL BE RESPONSIBLE FOR

  • Raising quotes and handling all correspondences with customers making sure to meet their needs from first contact to completion of their job
  • Liaising with the Projects and technical team for support on more challenging requests
  • Working alongside the Hire Desk team to ensure the equipment and crew availability is suitable to fulfil the new requests
  • Ensuring Purchase Orders or payment in advance where required is received for each job on confirmation to allow for an accurate audit if requested
  • Organising orders for external suppliers, whether it’s equipment, couriers or other services to support the final delivery of the job
  • Liaising with Ofcom and other frequency authorities to arrange frequency licenses for the duration of each event
  • Arranging equipment logistics with customers for each job and coordinating with the Prep team to allow them to plan day to day driving as efficiently as possible throughout the week where required
  • Working with the hire desk bookings team, project management team and prep team to organise international freight shipments by handling all paperwork and liaising with couriers to ensure smooth transit of equipment for major projects and day to day events
  • Arranging the final process of closing down jobs in the system to allow the Accounts team to invoice customers in a timely manner.
